Fondazione Poliambulanza, is a non-profit hospital and IRCCS ( Scientific Institute for Research, Hospitalization and Healthcare) located in Brescia, Italy. As part of the ongoing expansion of our Research amp; Innovation team, we are seeking a Grant Officer to support our growing portfolio of clinical and translational research projects.
This is a full-time position, reporting directly to the Scientific Director and the Head of the POLARIS Unit (PO Li Ambulanza for Research, Innovation and Data Analysis).
Job Purpose
The Grant Officer supports the planning, acquisition, and management of external funding for clinical and translational research. Working closely with researchers, clinicians, administrative staff, and external funders, the Grant Officer ensures that grant proposals are competitive and that funded projects comply with regulatory, ethical, and financial requirements. This role is relevant to advancing the institute’ s mission of improving patient care through high-impact medical research.
Key Responsibilities
1. Pre- Award ( Before Funding)
Identify funding opportunities from national and international agencies (e. g. , Ministry of Health, Horizon Europe, NIH, private foundations) relevant to medical and clinical research. Assist researchers and clinicians in the development of grant proposals, including drafting non-scientific sections, budget planning, and coordinating required documents (C Vs, letters of support, ethical approvals). Ensure proposals meet the eligibility criteria, technical requirements, and institutional priorities. Facilitate internal review and submission through funder portals (e. g. , IRCCS platform, Clinical Trials. gov, EC Participant Portal). Provide guidance on ethical and regulatory documentation, including ethics committee submissions, clinical trial authorizations, and GDPR compliance.
2. Post- Award ( After Funding)
Support contract negotiation and agreement finalization with sponsors, funders, and collaborators. Monitor project budgets, timelines, and deliverables, in coordination with clinical research teams and finance offices. Oversee the administrative and financial reporting to funding bodies and support the submission of progress reports. Ensure compliance with institutional and funder policies on clinical research governance, patient data, and audit requirements. Act as a liaison with auditors and funding agencies during project evaluations or financial audits.
3. Institutional Strategic Support and Communication
Contribute to the institute’ s reporting obligations to the Ministry of Health and national health research agencies (e. g. , IRCCS evaluations). Represent the institute at national and international research networks, consortia, and IRCCS research working groups. Foster collaborations with hospitals, universities, CR Os, and industry partners.
Required Qualifications and Skills
Bachelor’ s or Master’ s degree in a relevant field (e. g. , biotechnology sciences, management engineering, health economics, administration). Excellent written and verbal communication skills in English and the local language. Knowledge of clinical research processes, including ethical approval, clinical trial registration, data protection, and Good Clinical Practice (GCP). Strong project management, budgeting, and organizational skills. Strong skills in data management and reporting Ability to work both independently and as part of a multidisciplinary team in a fast-paced healthcare environment.
Preferred Qualifications / Desirable Skills
Experience in grant management, preferably in clinical or medical research settings. Knowledge of national and international health research funding programs (e. g. , Horizon Europe, AIFA, Ministry of Health, NIH). Experience in (clinical-medical) scientific research.
