Undertake all administration tasks associated with HR and payroll data processing covering the employment life cycle . , on-boarding, employment changes, benefit & pensions administration, and terminations.
Responsible for accurate payroll & HR System (HR Cloud and Zucchetti) data input and general record keeping.
Execute the entire payroll cycle including time & attendance, processing, reporting and reconciliation.
Provide administration support to help deliver a positive employee experience and supporting all employees and managers with first line information and advice on HR systems, policies and procedures.
CORE RESPONSIBILITIES AND TASKS SERVICE DELIVERY Execute the day to day HRSS ( Shared Service) activities that contribute to the implementation of the HRSS Strategy and work plans, including assisting with the development of work plans for meeting HRSS business objectives Ensure to meet service targets and service level agreements.
Verifying and amending payroll hours from Time & Attendance system to ensure employees are being paid correctly.
Process monthly payroll, calculating statutory, contractual and voluntary payments and deductions . social insurance, occupational pension, taxation, absences, bonus, overtime and premium payments and annual pay increases.
Process salary payments, time and attendance data, for approx. 400-450 employees Calculation and processing of new hires and leaver termination payments and creation and issuing of certificates concerning the employment of employees.
Deal with salary payments, submissions through online bank within agreed timescales for meeting bank transfer deadlines. Ensure all month end tasks such as statutory payments and reporting is performed accurately & timeously.
Administrate IT applications related to canteen, security.
Interface with external parties, insurance companies such as, UFFICI PROVINCIALI DEL LAVORO; INPS, INAIL, FASI, FONCHIM, FASCHIM, PREVINDAI, Tax Authority, Employers Organisation, Trade Unions, ISTAT, CAMERE DI COMMERCIO.
Produce payroll reporting to meet business and statutory payroll needs Process data changes, contract changes to ensure HR CLOUD and Zucchetti records are accurately maintained. Provide information relating to employment . terms and conditions, benefit schemes, time off arrangements, HR policy and procedures.
Process third party requests and provision of information in line with internal and external requirements to agreed timescales.
Maintain employee records (personal file, HR CLOUD, Zucchetti Systems) and ensure these are updated and cleansed in line with document retention schedule.
Provide information and guidance to managers and employees relating to employment . , terms and conditions, benefit schemes, time off arrangements, HR policy and procedures. CONTINUOUS IMPROVEMENT Support the HRSS Manager in reviewing and re-designing Payroll processes, utilizing LEAN methodology approaches to achieve auditable efficiency gains in Payroll processes and service delivery.
Act as Payroll Adviser in driving payroll service excellence and continuous improvement, by providing technical guidance and support to the business on payroll related matters. Working closely with the HRBP team to develop tools and systems that support continual service delivery and improvement.
Develop a Payroll Compliance Framework, including development of payroll operating policies and procedures and ensure alignment to S-W policies and Italian Payroll and Employment Law regulations.
Lead on the production of HRSS process flowcharts, Standard Operating Procedures and guidance materials for supporting employees, managers and HRBP Actively participate in and develop internal and external networks to build, develop and implement HRSS best practice.
Identify HRSS processes suitable for automation and/or digitisation and support the HRSS Manager with the implementation of automation projects.
HR CLOUD DATA MANAGEMENT & MAINTENANCE/HR & PAYROLL REPORTING Accurate & timely input of HR system (HR Cloud) data, time & attendance ( Zucchetti) data and provide data changes to payroll as required.
Processing employee data changes, checking employee records and completing data cleansing to ensure accuracy of our people data.
Process manager & employee HR Cloud self-service transactions, in line with regional job & approval matrices. Assist with completing regular HR Cloud data audits, analysis and data cleansing routines to ensure accuracy of information held and confidence in data integrity.
Ensure service work efforts are reflected accurately in Service Now case management system, and submitted service request are dealt with in line with SLA’s. Provide data to support Compensation and Benefits annual cycle . , Bonus, Merit and pay data surveys.
Support managers & employees with annual goal & performance activities in HR Cloud.
Provide payroll information and statistics (headcount, overtime, absence, etc) to support business and legal requirements to internal and external customers ( Authorities, Merce, ISTAT, Camere di Commercio, etc).
Maintain master data and employee files (electronic or paper).
Year-end and monthly payroll reporting to meet internal and statutory obligations. Complete regular people data audits, analysis and data cleansing routines to ensure accuracy of information held and confidence in data integrity. Generate statistics on turnover/headcount, payroll and absence reporting, and ensuring data produced is accurate and supports achievement of the HR objectives.
ONBOARDING/OFFBOARDING ADMINISTRATION Process recruitment documentation for new hires, issuing offer packs, contracts of employment in line with business and legal requirements.
Maintain accuracy of people data records ensuring all required documents are up to date.
Utilize the appropriate templates and processes for all offer letters, new hire paperwork, leavers and unemployment verifications, etc. and enter onto GEMS as needed.
Process third party requests and provision of information in line with internal and external requirements to agreed timescales. TRAINING & COMMUNICATION Working in collaboration with HRBP team, ensure HRSS customers are trained in HR systems and tools and/or have access to appropriate guidance material and resources.
Manage and maintain HR Spaces to provide guidance and information in a user friendly and intuitive manner for employees and managers.
Take initiative for keeping up to date with relevant Payroll policies, processes and Payroll legal requirements to ensure payroll administration is delivered consistently and accurately.
Promote the use of HR Cloud at the most appropriate level . , by actively promoting Manager and Employee Self Service.
Experience of working within a payroll department Bachelor’s Degree Payroll/HR/ Finance Focus in Payroll and T&A business related field, Have good knowledge within Italian Labor law, National Collective Agreements Excellent communication and interacting skills, both verbally and written Good English knowledge Have problem solving ability, analytical and numeracy skills Experience of working within a target driven and complex organisation – preferably HR Shared Services and working with Service Level Agreements/ Key Performance Indicators Experience of using HR and Payroll Systems ( Oracle applications, Zucchetti) Payroll qualification or studying towards or equivalent *** Please be aware that you can apply for any internal job offer after minimum one year in current role having previously informed your manager.
