Role |
We are looking for a Design &Architecture Project Coordinator to join our launch team in Milan. This role is a key part of our expansion in Italy, responsible for managing and coordinating the onboarding of new apartments.
As the Design &Architecture Project Coordinator, you will oversee light refurbishment works, coordinate deliveries with logistics teams, and ensure each apartment is fully prepared and guest-ready. You’ll work on-site, acting as the eyes and hands of our remote design and project management team, while also leading a flexible team of freelancers and external suppliers to bring our design vision to life.
This is not a purely creative or supervisory position — it demands technical expertise, strong attention to detail, and hands-on involvement with contractors, suppliers, and service providers.
Ideally, you are a Geometra or have a similar background in technical design and project execution. .
Responsibilities |.
• Supervise the execution of 6 to 8 apartment projects per month, from initial visit to guest-ready.
• Potentially manage a team from 3 to 8 people.
• Collaborate remotely with our international design and project management teams based in Spain, France, and Portugal.
• Coordinate all logistics related to project execution and furniture deliveries.
• Conduct on-site visits to measure apartments, assess conditions, and flag any discrepancies with our design and quality standards.
• Identify and report potential risks or structural issues, such as humidity, poor finishes, or signs of wear and tear.
• Coordinate and supervise on-site works including painting, decoration, light carpentry, and basic installations in line with our design and documentation (DDP).
• Oversee furniture deliveries, assembly, and placement, ensuring alignment with floorplans and visual references.
• Serve as the main point of contact for local workers (handymen, painters, installers), ensuring quality control and on-time delivery.
• Handle utility setups for new apartments, including internet, electricity, and gas connections.
• Ensure the apartment is fully cleaned, equipped, and guest-ready for final handover.
• Coordinate apartment staging and photo shoots with photographers.
• Prepare regular project reports by collecting, analyzing, and summarizing relevant data.
About you |
• You are a Geometra, Technical Project Manager, or Site Coordinator with 5+ years of experience in residential refurbishment or light construction projects.
• You are based in Milan and have strong local knowledge of suppliers, contractors, and the real estate market, along with an extensive professional network in the area.
• You have a sharp eye for detail, strong spatial awareness, and a solid understanding of quality standards.
• You are hands-on, organized, and solution-oriented — someone who gets things done efficiently and effectively.
• You’re comfortable using tools such as AutoCAD, Sketch Up, Google Drive, Slack, Hub Spot, and possibly Asana for project tracking and collaboration.
• You’re a skilled negotiator and relationship builder, able to manage both workers and suppliers effectively.
• You have excellent communication skills in Italian and you are fluent in English or Spanish.
• You are flexible and resilient, comfortable working in ambiguous, fast-changing environments, and can adapt quickly to new challenges.
• You feel confident working in cross-functional and international teams, and thrive in a start-up environment where proactivity and autonomy are key.
